Walk-In Queue Management for Small Businesses — No Extra Hardware

The Problem: Walk-In Customers and the Chaos They Bring

You run a barbershop. Half your customers book online, the other half walk in. The ones who booked have a set time. The walk-ins stand around the door, looking at each other, trying to figure out who was here first. Your receptionist is juggling a phone, a clipboard, and a growing line of impatient people.

Or maybe you run a government office. Citizens show up without appointments. They need a number. They need to know how long the wait is. They need a screen that tells them when it is their turn. You need all of that, and you needed it yesterday.

The traditional solution is a take-a-number machine — a physical device that costs several hundred dollars, uses paper rolls, and does exactly one thing. It prints a number. It does not show wait times, it does not notify customers, and it definitely does not integrate with your appointment calendar.

The Usual Fix: Separate Systems That Do Not Talk to Each Other

Most businesses end up with a patchwork of tools. A booking plugin for online appointments. A paper sign-up sheet or physical queue machine for walk-ins. A whiteboard for the waiting room. And a receptionist who keeps it all in their head.

The problems with this approach are obvious:

  • Walk-ins do not appear in the appointment calendar — staff has no complete view of the day
  • The whiteboard gets messy after the third customer — names erased, numbers crossed out
  • Customers do not know their position in the queue — they ask every five minutes
  • When the receptionist goes on break, the system falls apart

Some businesses try digital queue apps — standalone services that charge monthly fees and require dedicated tablets with specific apps installed. They work, but they are another subscription, another login, another vendor to manage.

The Better Way: Queue Management Built Into Your WordPress Site

Vollstart Appointment Desk includes a complete walk-in queue system alongside its appointment booking features. No separate service, no extra hardware beyond what you already have — a tablet or phone and optionally a TV screen.

The Kiosk Page

The kiosk page is a full-screen interface designed for a tablet at your entrance. One big button: “Pull a Number.” The customer taps it, gets a queue number (like A-007), sees a QR code they can photograph, and the screen automatically resets for the next person.

If you want customers to give their name, you can add an optional name field. The kiosk auto-resets after a configurable number of seconds — 15 by default — so no one has to tap “Done” or “Next.”

The TV Display

Open the display URL on any screen — a TV in the waiting room, a monitor behind the counter, even a laptop propped up on a shelf. It shows “Now Serving” with the current number, and a list of waiting numbers below. Updates in real time.

Portrait or landscape orientation. Light or dark theme. No app to install — it is just a web page.

QR Code Check-In

Customers can also join the queue by scanning a QR code posted at your entrance. They get their number on their own phone. They can leave the waiting room, grab a coffee, and check their position anytime. When they are called, they see a notification.

Staff Counter Page

Your staff opens the counter page on their device. They see the queue and click “Serve Next” to call the next customer. The TV display updates immediately. If a customer does not show up within the configured no-show timeout, they are automatically skipped.

How to Set It Up

  1. Install the plugin — Get Vollstart Appointment Desk from the WordPress plugin directory. Activate it.
  2. Create a calendar — Calendars represent your locations or service areas. Create one and set your business hours.
  3. Enable the queue — In the calendar settings, turn on the queue feature. Configure the number prefix (e.g., “A”), reset time, and optional name field.
  4. Set up the kiosk — Open /appointment-desk/queue/1/ on a tablet at your entrance. Replace “1” with your calendar ID. Bookmark it and enable full-screen mode.
  5. Set up the TV display — Open /appointment-desk/display/1/ on your waiting room screen. Same URL structure, just “display” instead of “queue.”
  6. Share the counter page — Give your staff the counter URL with an auth token so they can call the next customer.

What You Get

  • No hardware costs — use any tablet, phone, or TV you already own
