How to Let Customers Cancel and Reschedule Appointments Without Calling You

The Problem: Cancellation Calls Waste Everyone’s Time

A customer booked a 3pm appointment. Something came up. They need to cancel or move it to next week. So they call your office. Your staff answers, asks for the name, finds the appointment, offers alternative times, goes back and forth until they agree on a new slot, confirms verbally, and hangs up. Three to five minutes gone.

The Usual Fix: Asking Customers to Call or Email

Most booking plugins send a confirmation email that says “To cancel or reschedule, please contact us at…” followed by a phone number or email address. The customer has to initiate a conversation, wait for a response, and coordinate a new time.

Some plugins add a “Cancel” button to the confirmation email, but it cancels instantly without offering an alternative time. The customer has to go back to the booking page and start from scratch. If they wanted a different time on the same day, they now have to navigate the entire booking flow again — service selection, date picking, form filling.

What customers actually want is simple: click a link, see their appointment, and either cancel it or pick a new time. One click, no phone call, no waiting for email replies.

The Better Way: Self-Service Links in Every Email

How Cancellation Works

  • Cancellation deadline — set a minimum advance time. For example, no cancellations within 24 hours of the appointment. After the deadline, the cancel link shows a message explaining the policy.
  • Auto-confirm or manual approval — cancellations can be instant or require your approval.
  • Email notifications — both parties receive confirmation of the cancellation.

How Rescheduling Works

The reschedule link takes the customer to a simplified booking page that already knows their service and details. They just pick a new date and time. The system checks availability (including slot holds to prevent double bookings), confirms the new slot, and releases the old one.

The customer does not need to re-enter their name, email, or phone number. The form is pre-filled. They just pick a time and click confirm.

Double Opt-In Support

If you have Double Opt-In enabled (email confirmation before a booking becomes active), rescheduled bookings go through the same verification process. This ensures that someone cannot reschedule another person’s appointment by guessing the link.

How to Set It Up

  1. Install the plugin — Get Vollstart Appointment Desk from WordPress.org.
  2. Enable email notifications — In Options, make sure the confirmation email is enabled. It is on by default.
  3. Set the cancellation deadline — Choose how many hours before the appointment customers can cancel. Default is 24 hours.
